OV claims - England and Wales
Miscellaneous task and DNA packing and tagging claims for England and Wales
Background
Since 7 July 2017 all miscellaneous claims must be made by submitting an invoice. This process replaces the previous APHA self-billing system (GUIK) which has been decommissioned. Claim forms for the following payments are no longer in use:
- OV Miscellaneous Claims Tasks
- DNA Marking Tags - Official Veterinarian Monthly invoice sheet
- DNA Marking Tags - Official Veterinarian Monthly Invoice Summary
The APHA Veterinarian authorising the task will add a note to the relevant Sam record.
Instructions for OV Practices
Submit all invoices on a monthly basis to include all services completed. To ensure that payments are made promptly, include all of the following information:
- Unique invoice number
- Practice details, registered trading name, address on letter-head to include VAT registration number
- Date of visit
- CPH number and farm/customer name
- Detail of task, and appropriate fee (headage or hourly as appropriate) including number of animals and/or hours - as per the Scale of Fees below
- milage being charged.
VAT (at the appropriate rate) should be shown separately on the invoice as a separate charge. VAT is not included within the Scale of Fees.
Invoices should be sent by email to FinanceEnglandServiceDelivery@apha.gov.uk. Alternatively post to:

Include the following in the subject line of the email: 'OV Miscellaneous Claim' followed by the practice name. The Finance and Business Support Team can also be contacted by telephone if emailing invoices is not an option.

* £72.53 per hour subject to minimum (i.e. call-out fee) of £52.12
Examples using the above table:
- Under 1 hour = the fee/cost would be £52.12
- 1 hour = the fee/cost would be £72.53
- 2 hours 30 minutes = the fee/cost would be £181.33
Milage rates are £0.40 per mile, between 1 - 10000 miles.

** DNA Packing/Tagging should only be charged for when the owner of animals in a TB test is paying for the test rather than APHA. No milage can be claimed on these tasks.
Anything outside of these fees needs to be agreed prior to the task date with the Veterinary Head of Field Delivery (VHoFD)/Veterinary Lead Wales (VLW).
